How to compress a PDF to under 1 MB (or 500 KB, 200 KB) for an upload form

Job applications, university admissions, government portals and insurance claims all have one thing in common: an upload box that says "maximum 1 MB", or 2 MB, or even 200 KB. Your scan is 4 MB and the form rejects it. Here is how to get it under the limit without guessing.
Compress to the exact limit
- Open Compress PDF and choose your file.
- In Maximum size, choose the limit the form asks for. If it says 1.5 MB, pick the option just below: 1 MB.
- Press Compress PDF. The tool tries settings from best quality to smallest and downloads the first one that fits.
- Upload the file that ends in -compressed.pdf.
There is no need to try levels one by one: with a maximum size chosen, the level is picked for you. If the PDF is already under the limit, the tool tells you and doesn't download anything.
What gets smaller, and what doesn't
Almost all the weight of a big PDF is photos and scans. Those are re-encoded at a lower resolution. Text stays text: it remains sharp, selectable and searchable at any size, so the portal (or the person reading it) can still copy your name and ID number.
That is also why a PDF that is almost all text sometimes can't reach 200 KB. Nothing is turned into an image to force it; you get the smallest honest version and a message saying so.
If it still doesn't fit
- Send only the pages they asked for. Remove covers and blank pages with Organize PDF, or keep a range with Split PDF.
- Several upload boxes? Split the document and upload each part separately.
- Built from phone photos? Rebuild it with JPG to PDF and compress the result: photos straight from a phone are huge.
"1 MB" can mean two sizes
Some websites count 1 MB as 1,000,000 bytes and others as 1,048,576. The limits in the tool use the smaller number, so a file that fits here fits both. To check the size before uploading: on Windows, right-click the file, Properties, and look at "Size" (not "Size on disk"); on a Mac, Get Info; on a phone, the file details in the Files app.
Why do it on your device
The PDFs that go through upload forms are the most personal ones: ID cards, payslips, certificates, medical reports. robinpdf compresses them in your browser; the file isn't sent to any server before it reaches the portal you chose.
