How to print multiple PDF pages on one sheet (2-up, 4-up and beyond)

You have a 60-slide lecture deck, a 40-page script for tomorrow's read-through, or a long report to mark up with a pen. Printed one page per sheet, that means a brick of paper, an empty ink cartridge, and a document that is harder to skim because your eye can only compare one page at a time. Printing several PDF pages on each sheet — what print shops call 2-up, 4-up or N-up — fixes all three problems at once.

There are two ways to do it: fiddle with the "pages per sheet" dropdown buried in your printer dialog, or build a proper N-up PDF that anyone can print, anywhere, with the same result. This guide covers the second, better way.

Why this beats the printer dialog's "pages per sheet"

Almost every print dialog has an N-up option, so why create a new file? Because the dialog setting is a one-off: it lives and dies with that single print job, on that single machine. Email the file to a colleague with "print this 4-up" and you are relying on them to find the right dropdown in their particular driver, and half the time they won't.

The honest limit of N-up printing is font size: every page you add to a sheet shrinks the originals. The right choice depends on what the pages contain:

A quick self-test: view one sheet of the result at about 100 percent zoom. If you squint, your readers will too — go down a density.

Paper size and other details worth checking

Match the output to the paper actually in your printer. A4 and US Letter differ by a centimetre or so in each direction — invisible on screen, but it shows up as clipped edges or lopsided margins. If a file came from the other side of the Atlantic, that mismatch is the usual culprit when an otherwise perfect N-up print comes out subtly off-centre.

Page order is preserved automatically: pages flow left to right, top to bottom on each sheet, the way you would read them.
